Set up your Google Business Profile yourself: free step-by-step guide

Stefanos Svarnas · 9 min read

At a glance

Create an account at business.google.com, search for your business or create a new entry, verify by postcard or phone (takes 1 to 14 days), then fill in all required fields. Completely free. The most common pitfall is choosing the wrong category, which damages your ranking permanently.

Your Google Business Profile is your digital business card on Google, and the best part: it's completely free. When someone in your city searches for your service, this profile often decides whether the customer lands with you or your competitor. In this guide I'll show you step by step how to set up your profile yourself, without spending a cent.

Why a Google Business Profile is a must

If you don't have a Google Business Profile, you simply don't exist for many customers near you. The profile appears directly in Google Search and in Google Maps, exactly where people search for local providers.

A well-maintained profile brings you:

  • Visibility in Google Maps and local search
  • Trust through reviews and photos
  • Direct contact options (call, directions, website)
  • Free advertising around the clock
  • An edge over competitors without a profile

Step 1: create or use a Google account

You need a Google account. If you already have a Gmail address you can use that. Otherwise create a new account at accounts.google.com, ideally with an email address you'll use long-term.

Tip: use a Google account you also use professionally. If you later want to hand the profile over to an employee or agency, a separate business account makes sense.

Step 2: register your business with Google

Go to business.google.com and click "Manage now". Google walks you through a wizard:

  • Business name: enter your official business name: exactly as on your signage, invoice or imprint. Don't add keywords (e.g. not "Müller hairdresser: best hairdresser Stuttgart")
  • Business category: pick the primary category that best fits your business. You can add more later
  • Location: if you have a shop or office, enter the full address. If you travel to customers (e.g. as a tradesperson), you can give a service area instead
  • Contact details: phone and website URL. If you don't have a website yet, you can leave that blank for now

Common mistake with the category

The category is one of the most important ranking factors. Don't just pick the first one, think carefully: what is your main service? An electrical installer should choose "Electrician", not "Construction company". Google shows you suggestions: pick the most specific category that fits you.

Step 3: verification: proving the business is yours

Google has to make sure that you really are the owner. These days Google usually asks for a short video, less often a postcard, phone or email. Google decides which method you get:

  • Video: the most common method. You record a short video that shows your location, your business and your work
  • Phone: for some businesses Google offers verification by SMS or call
  • Email: possible in rare cases via email
  • Postcard by mail: less often, Google sends a postcard with a code to your business address
Important: during verification you can already edit your profile, but it only goes public after successful verification. Use the waiting time to prepare everything.

What to do if the postcard doesn't arrive?

Happens more often than you think. Wait at least 14 days. Check whether the address is spelled correctly (including number, floor, etc.). You can request a new postcard from your dashboard. The old code becomes invalid then.

Step 4: fill the profile out completely

A half-hearted profile won't get you far. Google prefers complete profiles: so do customers. The most important sections:

Description (up to 750 characters)

Use the full length. Describe what you offer, for whom and what makes you special. Write naturally, not like a keyword list. A good example:

"Since 2015 I've been your contact for plumbing and heating in Ludwigsburg and the surrounding area. From a dripping pipe to a complete bathroom renovation: I'm fast, reliable and transparent about costs. Just give me a call!"

Opening hours

Enter your regular hours and keep them current. Don't forget:

  • Holidays entered separately (e.g. Christmas, Easter)
  • Seasonal changes updated promptly
  • "Additional hours" used if e.g. phone availability is different

Attributes and services

Google offers various attributes by industry: accessibility, payment methods, Wi-Fi, parking and more. Fill in everything that applies. It helps customers decide and improves your visibility.

Step 5: upload photos: the underrated game changer

Profiles with photos receive, according to Google, 42% more direction requests and 35% more website clicks. Yet most owners upload only one or two blurry phone photos, or none at all.

What you should upload:

  • Logo: your company logo in good quality (at least 250x250 pixels)
  • Cover image: a striking photo of your business, team or work (1080x608 pixels ideal)
  • Exterior: helps customers find you
  • Interior: show the atmosphere of your shop or office
  • Team photos: people build trust. Show yourself and your team
  • Work results: finished projects, prepared dishes, before/after: whatever fits your industry
Practical tip: upload at least 10 photos at the start and add new ones regularly. Once a month 2–3 fresh pictures signal Google that your profile is active.

Step 6: manage reviews actively

Reviews are the strongest trust factor, and one of the most important ranking signals for Google. Here's how to approach it:

  • Actively ask for reviews: ask satisfied customers directly after the job, ideally in person or via a QR code with the direct link to your review form. By message only if the customer has given consent beforehand
  • Reply to every review: thank positive reviews personally. Reply to negative ones factually and solution-oriented
  • Share the review link: you'll find the direct link in your dashboard under "Reviews" > "Get more reviews"

How to find the review link

Go to your Google Business dashboard, click "Home" and then "Get more reviews". There you'll find a short link that you can share on your business card or as a QR code. Via WhatsApp or email only if the customer has given consent beforehand. That way you make it as easy as possible for your customers.

Step 7: publish posts

Did you know you can post via your Google Business Profile too? Similar to social media, but directly visible in Google search. You can post:

  • News and announcements
  • Offers and promotions (with start and end date)
  • Events
  • New products or services

Post a contribution at least every 1–2 weeks. Costs you 5 minutes and signals Google that your business is active.

The 7 most common setup mistakes

  • Wrong business name: keywords in the name violate the guidelines and can lead to suspension
  • Wrong category: too general or just plain wrong, costs visibility
  • No photos: profiles without pictures look unprofessional and rank worse
  • Inconsistent data: name, address and phone must be identical everywhere on the web (website, imprint, directories)
  • Forgotten opening hours: especially on holidays this frustrates customers and hurts ranking
  • Ignoring reviews: not responding looks uninterested
  • Set up and forget: a Google Business Profile needs regular care

Checklist: is your profile complete?

Go through these points and tick off:

  • Business name correct and without keywords
  • Primary category and 2–3 secondary categories chosen
  • Address or service area correctly entered
  • Phone and website stored
  • Description filled with 750 characters
  • Opening hours entered (incl. holidays)
  • At least 10 photos uploaded
  • Logo and cover image set
  • Attributes and services filled
  • First post published
  • Review link sent to first customers

When is professional help worth it?

You can definitely do the basic setup yourself, and you should. But there are situations where professional support makes sense:

  • You have strong competition in your city and need an optimisation strategy
  • Your profile was suspended or rejected and you don't know why
  • You want to take your profile to the next level with SEO-optimised text, schema markup and local backlinks
  • You simply don't have time to take care of it regularly

In such cases targeted Google Business optimisation can make the difference. If you have questions, get in touch, a short chat costs nothing and helps you make the right decision.
